Run your first scan

A scan checks invoices you have already received against each other. It is the quickest way to see what Invogi finds in your own data, and every new workspace can scan 500 invoices for free.

You will need: a list of supplier invoices exported from your accounting system as a CSV or Excel file. Any recent period works; 3 to 12 months gives the best results.

  1. Create your workspace

    Sign up at invogi.com and answer the onboarding questions. You become the workspace owner.

  2. Export your invoices

    In your accounting system, export your supplier invoices (often called bills or purchase invoices). The file must have these four columns:

    Invoice number INV-2026-1001
    Amount 1190.00
    Date 2026-09-14

    Add these too if you have them, because each one switches on more checks: currency, supplier VAT ID, IBAN (or UK sort code and account number), purchase-order number, net amount and tax amount.

    Column names do not need to match exactly. Not sure about the format? Use Download an example template on the upload screen.

  3. Start the scan

    Click New risk scan in the sidebar (or Run an AP risk scan on the Scans page), then choose Upload a file and select your export.

    You can also choose Paste spreadsheet rows and paste straight from Excel or Google Sheets. Include the header row.

  4. Check the column mapping

    Invogi matches each of your columns to an Invogi field. Look down the list and fix anything it got wrong; set columns you don’t need to Not mapped. Then click Confirm column mapping.

    If your workspace has more than one company, also choose the company under Whose AP export is this?

  5. Fix invalid rows and run

    Rows with a problem, such as a missing date, are listed with the reason. Fix them in your file and upload again, or skip them. Then click Analyze N rows.

  6. Read the report

    The scan report lists findings with the most serious first. Open each one to see the evidence and record a decision. The next page explains how.
