Set up your workspace

Work through this list once, in this order, when you start using Invogi with a team. Everything is under Settings, which only owners and admins can open.

  1. Check your base currency · owner only

    Settings → Companies → Base currency. Choose the currency you report in. Invogi uses it for dashboard totals and for comparing invoices in different currencies. More below.

  2. Add your companies · if you pay for more than one legal entity

    Settings → Companies → Add company. Add each legal entity with its VAT ID so invoices are filed under the right one automatically. Single-company workspaces can skip this. See Multiple companies.

  3. Invite your team

    Settings → Team. Enter an email address, choose a role and click Send invite. Not sure which role? Analysts review findings; viewers only read. See Roles and permissions.

  4. Set up email intake · optional

    Settings → Team → Email invoice intake shows your workspace’s private address. More below.

  5. Route findings to the right people · optional

    Settings → Team → Finding routing → Add routing rule. More below.

  6. Connect your accounting system · optional

    Integrations → ERP. See Integrations.

Invoices in other currencies are converted using the European Central Bank reference rate for the invoice date (and fixed central-bank parities where they apply). The rate is saved with each invoice, so changing the base currency later doesn’t rewrite past invoices.

Invogi never guesses a currency. An invoice without a readable currency is flagged as CURRENCY_UNKNOWN until someone confirms it. In a scan, rows without a currency column use the base currency.

Invites are sent by email, expire after 7 days and can be used once. You can revoke a pending invite. Admins can’t invite someone as owner.

Forward supplier invoices to your workspace’s address, or set up an automatic forwarding rule in your AP mailbox. Each email can carry up to ten PDF, XML, PNG, JPEG or TIFF attachments, and each is analyzed like an upload.

Routing rules assign new findings to a teammate automatically, for example every bank-account change to your AP lead. A rule can match on company, supplier, finding type and minimum severity, and can notify the person it assigns.

Rules are checked from the lowest priority number up, and the first match wins. Put specific rules (low numbers) before broad catch-all rules (high numbers). A finding that matches no rule stays unassigned.

Settings → Data & security holds:

  • Document retention: how long original documents are kept. Expired documents are never deleted automatically; an owner reviews the list and confirms the deletion.
  • IP allowlist (Enterprise): limit access to your office or VPN addresses.
  • Workspace deletion.
